# Add users to the Console and choose their access

**Short answer:** A project Owner adds people under Settings > Users, which emails them an invite. Each person gets a role: Owner, Editor, Viewer, or custom roles for each product. Billing has its own user list under Billing > Users, so add anyone who needs invoices or payment methods there as well.

**Applies to:** Enfonica Console, Billing
**Who can do this:** A project Owner, or a billing account Owner for billing access

## Before you start

- The Owner role on the project you're adding people to.
- To give someone access to billing, the Owner role on the billing account.
- The email address each person will sign in with.

## How does access work in the Console?

Access comes from two separate lists. Most access problems happen when someone is on one list but not the other.

| List | Where it is | What it gives | Who can change it |
| --- | --- | --- | --- |
| Project users | **Settings > Users**, in each project | Phone numbers, SIP trunks, SMS, Flow, and everything else in that project | The project's Owners |
| Billing account users | **Billing > Users** | Invoices, payments, payment methods, and the balance, and creating projects on that billing account | The billing account's Owners |

Each project has its own user list. An Owner of one project has no access to another until someone adds them to it.

## Add someone to a project

1. Sign in to the [Enfonica Console](https://console.enfonica.com/), and select the project from the project selector at the top of the left menu.
2. Go to **Settings > Users**. **Settings** is near the bottom of the left menu.
3. Select **Add user**.
4. In **Email**, enter the person's email address.
5. Select a **Role**. To help you choose, see [Which role should I choose?](https://enfonica.com/help/console/users-and-access#which-role-should-i-choose)
6. Select **Save**. The person appears in the list of users.

If the address doesn't have a Console login yet, the Console emails an invite. Its subject is "You've been invited to collaborate on", followed by your project's name. The invite is valid for 30 days.

If the person already has a login, no email is sent. The project appears in their project selector the next time they load the Console.

## Which role should I choose?

A role applies to one project. Give each person the least access they need. That way, a mistake or a compromised password can't reach further than it should.

| Role | What they can do in the project |
| --- | --- |
| **Owner** | Everything, including managing users, deleting the project, viewing the webhook signing key, and changing toll fraud prevention settings (which also needs two-factor authentication) |
| **Editor** | Create and change everything, including service accounts for apps, but not manage users |
| **Viewer** | See everything and change nothing |
| **Custom roles** | Viewer or Editor access to only the products you choose |

With **Custom roles**, select **Viewer** or **Editor** for each product the person needs:

- **Messaging** (Cloud SMS)
- **Phone numbers**
- **Voice** (Cloud Voice and Cloud SIP)
- **Flow**
- **SMS marketing**
- **Media**

For example, a partner who manages your SMS needs only **Messaging**, with **Editor** selected.

## Give someone access to billing

Billing account users can see the invoices, payments, and payment methods for every project on that billing account. Only an Owner of the billing account can add them.

1. In the bottom-left corner of the Console, select your name, and then select **Billing**.
2. In the left menu, select **Users**.
3. Select **Add user**, and enter the person's email address.
4. Select a role. The table after these steps describes each one.
5. Select **Save**. The person appears in the billing account's list of users.

| Billing role | What they can do |
| --- | --- |
| **Owner** | Everything an Editor can, plus manage the billing account's users |
| **Editor** | Add and change payment methods, make payments, and link new projects to this billing account |
| **Viewer** | See the balance, invoices, payments, and payment methods |

> **Note:** Adding someone to billing doesn't send them an invite. If they don't have a Console login yet, add them to a project first, so that they receive one.

## Give your accounts team billing-only access

The Console is organized around projects. For billing-only access, give your accounts team the smallest project role, plus the billing role they need.

1. Add their email address to one project as **Viewer**. They receive an invite and can sign in, but they can't change anything in the project.
2. Under **Billing > Users**, add the same address as **Editor**, so that they can add a card and make payments. If they only need to see invoices, add them as **Viewer** instead.

Receiving invoices by email is separate from all of this. The addresses that invoices go to don't get a Console login, and a Console login doesn't change who receives invoices.

## Change or remove someone's access

1. In the project, go to **Settings > Users**. For billing, go to **Billing > Users** instead.
2. Next to the person's email address, select the menu (**⋮**).
3. Select **Edit roles** to change their role, or **Delete user** to remove them, and then confirm.

You can't change your own role. If yours needs to change, ask another Owner.

When someone leaves your business, remove them from each project they're in and from **Billing > Users**, because each list is separate.

## Do partners need to add staff to every project?

No. If your business is an Enfonica partner that manages projects for its own customers, invite staff once from your admin area:

1. At the top of the left menu, select the back arrow.
2. Go to **Team**, and then select **Invite team member**.

Team members can reach every project you manage without appearing under **Settings > Users** in each one. Team membership doesn't include billing, so add anyone who handles invoices under **Billing > Users** as well.

## What about apps and integrations?

Give an app its own service account rather than a person's login. That way, it keeps working when staff change, and it can have exactly the access it needs. For more information, see [How do I authenticate with the Enfonica API?](https://enfonica.com/help/developers/api-authentication)

## Check that it worked

1. Ask the person to sign in, or to refresh the page if they're already signed in. Access changes apply when the Console reloads.
2. Make sure they can select the project from the project selector and see the menus their role allows.
3. For billing access, ask them to select their name in the bottom-left corner, and then select **Billing**. The **Billing overview** page opens.

If the invite doesn't arrive, see [Can't sign in to the Enfonica Console](https://enfonica.com/help/console/cant-sign-in). If **Billing** is grayed out or a page says **Insufficient permission**, see [Can't see Billing or create a project in the Console](https://enfonica.com/help/console/cant-see-billing).
