How-to guide

Pay your invoices automatically

Short answer

Add a credit or debit card under Billing in the Enfonica Console. Your card is then charged automatically on each invoice's due date. On standard 14-day payment terms, that's the 14th of the month.

Before you start

  • A Console login that's a user on your billing account. The email address your invoices are sent to isn't automatically a Console user.
  • A credit or debit card.

Make sure you can open Billing

Only people on your billing account's user list can add a card. To add or change a card, you need the Owner or Editor role on the billing account. The Viewer role can see invoices and payments but can't change how you pay.

Most people miss this step. The email addresses that receive your invoices are on a separate list, and receiving invoices doesn't let anyone sign in to the Console.

If you've never signed in to the Enfonica Console, get access in this order:

  1. Ask an Owner of one of your projects to add you to that project. You get an email invite.
  2. Ask an Owner of the billing account to add you as Editor under Billing > Users. Adding someone to billing doesn't send an invite on its own.

For the full steps, see Add users to the Console and choose their access. If nobody in your business can sign in, contact us, and we'll send the invite.

These articles cover other access problems:

Add your card

You add a card once. It stays on the account until you remove it. You enter the card details in a secure form from Stripe, Enfonica's payment provider.

  1. Sign in to the Enfonica Console.
  2. In the bottom-left corner, select your name, and then select Billing. The Billing overview page opens.
  3. If your business has more than one billing account, check the name at the top of the left menu. To switch to the right account, select the name.
  4. In How you pay, select Add payment method.
  5. Enter the card number, expiry date, and security code.
  6. Select Add. If your bank asks you to approve the card, follow its prompts. The card appears under How you pay.
  7. Make sure the card has the Primary label. The first card on an account becomes primary automatically. If you already had a card, open the three-dot menu next to the new card, and then select Set as primary.

How automatic payments work

After you save a card, it's charged automatically on the due date of each invoice. You don't need to do anything each month. Here's what to expect:

  • Invoices arrive by email at the start of each month, for the previous month's charges.
  • Standard payment terms are 14 days, so the invoice for September is due on 14 October. Some accounts have different terms in their agreement. Every invoice shows its Due date.
  • Each payment is listed under Billing > Payments. It also appears on your next invoice as a credit card payment, with the last four digits of your card.

If an invoice is already past its due date when you add your card, pay it now. See Pay an overdue invoice now.

Pay an overdue invoice now

Pay any amount at any time with a saved card by using Make a payment.

  1. Go to Billing > Overview.
  2. In Your balance, select Make a payment.
  3. In Payment amount, enter the amount. You'll find the amount owing next to Please pay on your latest invoice.
  4. In Payment method, select the card, and then select Pay. If your bank asks you to verify the payment, follow its prompts.

The Console confirms the payment, and it's listed under Billing > Payments. Your balance shows the date and amount of your last payment.

Set up auto top-up on a prepaid account

If Your balance has a Set up auto top-up button, you're on a prepaid account. Your charges are paid from your balance as you go. Instead of paying invoices on a due date, set up auto top-up so that your balance doesn't run out.

  1. Add a card. See Add your card.
  2. Go to Billing > Overview.
  3. In Your balance, select Set up auto top-up.
  4. Select the Enable auto top-up checkbox.
  5. In When my balance falls below, enter the balance that should trigger a top-up.
  6. In Top up my account to, enter the balance you want after each top-up.
  7. In Payment method, select the card, and then select Save. The card you select becomes your primary card.

Your balance now says that your payment method will be charged when your balance reaches the amount you set.

Change or remove a card

Automatic payments use the card marked Primary, and you can't delete that card while it's primary. Every other card has a three-dot menu under How you pay, with Set as primary, Set as backup, and Delete. If a payment from your primary card fails, your backup card is charged instead.

To replace a card:

  1. Add the new card.
  2. Open the new card's three-dot menu, and then select Set as primary.
  3. The old card now has a menu of its own. Open it, select Delete, and then confirm.

This order keeps a card on the account at all times. You can't undo deleting a card. To use it again later, add it again.

Pay without a card

Automatic payments need a credit or debit card saved in the Console. Direct debit from a bank account isn't available. You can also pay each invoice yourself by BPAY, using the Biller Code and the reference number (Ref) printed on the invoice.

Each billing account has its own BPAY reference, so use the one on that account's invoice. BPAY payments aren't automatic, so you make one for each invoice.

Check that it worked

  1. Under How you pay, make sure your card is listed with the Primary label.
  2. On a postpaid account, make sure the note above the card reads "When you add a payment method, it will be automatically debited on the due date of your invoice."
  3. After your next invoice's due date, look for the payment under Billing > Payments.

Questions

What happens if a payment doesn't go through?

If you have a backup card, it's charged instead. If no card goes through, the invoice stays unpaid, and Billing > Payments shows no payment for it. Check the card's expiry date under How you pay, add a new card if you need to, or check with your bank. Then pay the amount owing with Make a payment.

If the invoice stays unpaid, you might also get an overdue reminder.

Is there a surcharge for paying by card?

No. Enfonica doesn't add a surcharge to any payment.

Do I need to update my card when it expires?

Yes. Each card under How you pay shows its expiry date. Before your card expires, add your new card, set it as primary, and then delete the old one.

What happens if I pay more than I owe?

The extra stays on your account as a credit, shown with CR next to your balance. It's used against your next invoices. Each invoice's statement shows payments received and the balance carried forward.
